MyUCLA Group Instructions
Your MyUCLA Group Manager page gives you the ability to:
  • Find all the information relevant to your organization or department in one convenient online location
  • Take advantage of all the features you've come to expect from MyUCLA (forums, chat rooms, calendars) as well as valuable new features like online polls and up-to-the-minute statistics for your notifications.
  • Specify whether or not you want your group to be "Open," "Mixed," or "Private": Open group events can be open to group members and all MyUCLA users; Mixed group events can be restricted to private members, limited to group members, open to all MyUCLA users; Private group events can be restricted to members or open to all MyUCLA users.
You can get to the Group Manager page by clicking Group Manager on the left side of the page under MyUCLA Features after you log in, or by opening your MyUCLA Groups page, then ckick the link Group Manager from there.

Properties
Use this page to view the "fixed properties" and modify the "optional" properties for your MyUCLA Group page. Fixed properties are those elements of your page that have been determined for you; your optional properties allow you to customize your MyUCLA group page, activate your "Forum" feature and reset the password for your MyUCLA Group page (private and mixed groups only). You can also view the number of members currently subscribed to your group at the top of the page.

Fixed Properties: Add the following links in order to simplify the navigation between your organization's homepage and its MYUCLA Group page:
  • The link to your MyUCLA Group page URL
  • The link to your MyUCLA Group Calendar
Optional Properties:
  • Link to your organization's (student group, department etc.) homepage
  • Select from a variety of colors and fonts to define the style and the theme of your MyUCLA Group page to coordinate with your organization's homepage
  • Choose whether or not you wish to activate and configure the Group Forum feature for your MyUCLA Group page
  • View the number of members currently subscribed to your group.
Re-set MyUCLA Group Password (private and mixed groups only)
Please be aware that if you change the password for your MyUCLA Group, all private members will need to enter the new password before they will be able to view private subscription items. They will be instructed to click on the "Email Group manager" link in order to request the new password.


Notices
Send pop-up notifications to group members in order to keep them apprised of upcoming events. Your notices will post immediately to the "My Group Notices" section on each member's personal MyUCLA page. Keep track of how many members are reading Group Notices by viewing your group's archive of past notifications (see "Notices Stats" at top left hand corner of page).

Post a Notice


Enter the text of your notice: 255 characters maximum-approximately 2 to 3 lines.


Enter the URL that corresponds to the subject of your notice. For example, if your notice concerns upcoming enrollment deadlines, enter the URL for the online schedule of classes. If your notice pertains to a group social event, however, enter the URL for your group's homepage.


Enter the date you want your notice to expire: Be aware that the format for entering the expiration date does not allow for any deviations; review the example carefully before you proceed.


Click the "Add Notice" button and a copy of your notice will appear in the box entitled "Current Notice Links" located immediately above the "Add New Notice" box.

Delete a Notice

Find the notice you wish to delete in the "Current Notice Links" box.

Click on the box next to the notice you want to delete.

Click the "Delete Selected Items" button located at the bottom of the "Current Notices" box.

Dual Access Calendar
Keep track of all group-related activities by creating a list of events that's accessible in "real-time" from both your MyUCLA Group page and your group's homepage. No need to login to MyUCLA - simply copy the link to the Calendar from the Properties page and add it to your homepage. Events posted for the current term calendar will appear immediately on your group's page and, if you choose (see "Determine the Scope"), on the MyUCLA portal page under "Today's Events" on the day upon which they occur.
Add an Event


Choose the term, month, day and year in which your event will take place:
  • Current term: is the default term for adding events. The events you post - even those scheduled for a future term - will default to (and display on) the calendar for the current term.
  • Future term: In order to post events to display on the calendar for a future term, click on the "Change Term" button located immediately above the "Add New Event" box. Remember, if you post an event to the calendar for a future term, the event will not appear until the calendar for that term becomes active.
  • Displaying events for more than one term: Events input for one term do not "carry over" to the calendar for the next term. Consequently, you'll need to post the information for future term events at least twice in order to advertise them before the term in which they occur.

Choose the timeframe for your event:
  • Use the pull down menus to specify within 5 minutes the start and end time for your event.
  • Click on "All Day" events for daylong events that don't require a specific start and end time.
  • Select the same start and end time for events that that begin at a specific time, have no fixed end time, and are not scheduled to last all day.

Determine the scope (or audience) for your event:
All: (open, private and mixed groups)
  • Your event will be advertised on the MyUCLA portal page under "Today's Events" on the day which it is scheduled to occur.
  • Your event will appear on your MyUCLA Group page
  • All MyUCLA users may request a group event to appear on their personal MyUCLA calendars
Members: (only open and mixed groups)
  • Your event will appear on your MyUCLA Group page
  • Group members may request that an event appear on their personal MyUCLA calendars
Private: (only private and mixed groups)
  • Your event will appear on your MyUCLA Group page only to those members with private subscriptions
  • Group members with private subscriptions may request that an event appear on their personal MyUCLA calendars

Enter the title of your event: If your event doesn't have a title, it probably doesn't belong on your MyUCLA Group Calendar. Find out more about the difference between "notices" and "events" below.


Colorize the text you use to advertise your event: use one of the eight available colors to accentuate your text and draw attention to your event.


Enter the location of your event: Although this is an optional field, if your event doesn't have a location it may not be an "Event" but a "Notice." Read more about the distinction between "Events" and "Notices" below.


Delete an Event

Find the event you want to delete in the <Selected term> Events box.

Click on the box next to the event you want to delete.

Click the "Delete Checked Events" button located at the bottom of the <Selected term> Events box.

Links
Create a list of useful links for your group that can serve as source of reference for rosters, group websites and other pertinent resources. Your links will be listed in the order they were created or edited with the most recent appearing first.

Add a link:
  • Click on the "Add New Link" button and the "Add New Link" Box will appear
  • Enter the URL (e.g., http://www.craftygirls.com) for the link
  • Enter the name of the page or site
  • Enter a brief description of the page/site contents
  • Click the "Add Link" button
Remove a link:
  • Check the box beside the name of the link
  • Check the "Confirm delete" box

Polls
Get immediate (real-time) feedback from members of your group about questions & issues relevant to your shared interests. The results of your poll are displayed graphically and broken down by percentage on your MyUCLA Group page.
Create a Poll

Poll Text: Enter the question to which group members will be asked to respond.

Start date: Enter the date the poll will appear on your Group page.

End date: Enter the date the poll will disappear from your Group page.

Responses: Enter the set of possible answers to the poll: please be aware that your poll will generate no results if you don't provide a set of responses from which your members can choose.
Add additional polls

Although only one poll may be active on your Group page at a time, you do have the option of entering information for polls you'd like to run at a future date. Please make sure, however, that the start and end dates do not overlap.

Edit a poll

Modify your poll's question, set of responses* and start and/or end dates.

Delete your poll by clicking on the "delete" button.


*A response may not be modified or deleted if it has already been chosen.

Managers
Use this feature to give management permissions to (or cancel permissions for) another group member or to modify contact information for existing managers.

Add mangers by clicking on the "Add a Manager" button. A new screen will appear requesting the following mandatory information:
  • UID of new manager
  • Name
  • Email
  • Phone number
After you've entered the information, click "Add."

Remove managers by:
  • Checking the box beside the manager's name
  • Checking the confirmation box
  • Clicking on the "Remove Selected Manager" button.
Modify the contact information for a manager by clicking on the manager's name. A new screen will appear listing the current contact information. After you've made the necessary changes, click "Save."


Send a Notice or List an Event?
Use your MyUCLA Group Calendar to list events scheduled to take place on a specific date and time. If you want to make announcements about upcoming events, use the "Notices" feature available to all MyUCLA Groups. You can post a notice about an event to group members as far in advance of the actual event as you wish.
